The Rep Station is committed to providing a safe, supportive, and nurturing environment for all children who attend our workshops. This policy outlines our safeguarding responsibilities, procedures, and expectations to ensure every child’s wellbeing is protected at all times.
1. Our Commitment to Safeguarding
We believe every child has the right to feel safe, respected, and valued. Safeguarding is central to our practice, and all sessions are delivered with clear, consistent procedures designed to protect children from harm and promote their wellbeing.
2. DBS Status
All workshops are led by a fully DBS‑checked practitioner. Evidence of DBS clearance can be provided upon request.
3. Safe Learning Environment
Our studio is a calm, child‑only space during sessions. This helps maintain focus, reduces distractions, and ensures children can explore creatively in a secure environment. Parents and carers are welcome during drop‑off and pick‑up only.
4. Supervision & Ratios
Group sizes are intentionally small to ensure appropriate supervision and personalised support. Children remain under continuous supervision throughout the session.
5. Consent & Information
A completed consent form is required before a child attends any workshop. This includes emergency contact details, medical information, accessibility needs, and permissions relevant to safeguarding.
6. Health, Medical & Additional Needs
Parents must inform us of any medical conditions, allergies, or additional needs. All information is handled sensitively and used solely to ensure the child’s safety and comfort.
7. Behaviour & Conduct Expectations
We promote kindness, respect, and positive behaviour. Any behaviour that compromises the safety or wellbeing of others will be addressed promptly and appropriately, with communication to parents where necessary.
8. Responding to Concerns
Any safeguarding concerns will be taken seriously and handled in accordance with recognised safeguarding procedures. If a child discloses information or a concern arises, it will be recorded and escalated appropriately.
9. Photography & Artwork Permissions
Photographs of children or their artwork will only be taken or shared with explicit parental consent. No images will be used publicly without permission.
10. Drop‑Off & Collection Procedures
Children must be dropped off and collected by a parent, carer, or authorised adult. Any changes to collection arrangements must be communicated in advance.
11. Emergency Procedures
In the event of an emergency, parents will be contacted immediately. All sessions follow clear procedures for fire safety, first aid, and unexpected incidents.
12. Data Protection
All personal information is stored securely and used only for safeguarding and operational purposes. Information is never shared with third parties unless required by law.
13. Reviewing This Policy
This safeguarding policy is reviewed annually or whenever significant changes occur in safeguarding guidance or workshop operations.

Payment, Cancellation & Refunds
Missed Sessions
All bookings are made for a full block of sessions. Because each space is reserved just for your child, we’re unable to offer refunds or credits for sessions missed due to personal circumstances.
Change of Mind
Once your booking is confirmed, payments and deposits are non‑refundable. This helps us secure materials and keep group sizes small and consistent.
If We Need to Cancel
If a class or course doesn’t meet minimum enrolment numbers and we need to cancel, you’ll receive a full refund.
Unexpected Situations
If we ever have to cancel a session due to unforeseen circumstances — such as tutor illness or severe weather — we’ll offer either a make‑up session or a full refund for the missed class.
Liability & Media
Liability
The Rep Station and its staff are not responsible for personal injury, loss, or damage to personal belongings during sessions. We encourage children to dress comfortably and bring only what they need.
Photography & Marketing
We occasionally take photos or short videos during workshops for marketing and promotional use. If you prefer your child not to be included, please let us know in writing. You can update your preference at any time.
Booking Confirmation
Securing Your Space
Your child’s place is confirmed once payment has been received. Spaces are limited and offered on a first‑come, first‑served basis.
